JOB DESCRIPTION
The Program & Executive Assistant supports the President’s in-person engagement with internal and external stakeholders at events and during public appearances. They will provide administrative, logistical, and communication support including scheduling, travel, correspondence, expenses, briefings, and other tasks, as requested. They will also lead events and other programming from the Office of the President. The ideal candidate will have outstanding problem-solving and writing skills as well as excellent analytical, organizational, and administrative experience. They will have the ability to communicate effectively in both English and Spanish. The candidate must have the capacity to work concurrently and efficiently on multiple projects in a fast-paced office environment.
This is a hybrid position based in Washington, DC.
SPECIFIC RESPONSIBILITIES INCLUDE:
Assistant to the President
- Manage the President’s calendar and plan appointments, meetings, events, travel, and related logistics;
- Prepare background briefs based on research, in advance of speaking engagements, meetings and events;
- Maintain contacts in customer relationship management (CRM) database;
- Act as central point of contact for the President with people inside and outside the organization, providing information and handling inquiries;
- Handle communications and invitations as directed by the President, to include initiating/replying to communications on the President’s behalf;
- Work with the Communications Associate to manage the President’s online presence;
- Draft materials and correspondence, take minutes during meetings, handle other administrative writing needs as directed;
- Prepare expense reports and other paperwork on behalf of the President;
- Manage sensitive matters with a high level of confidentiality and discretion.
Program Support
- Conduct background research and write on key issues in hemispheric affairs;
- Assist with the drafting, editing, translating, design, and publication of program reports, memos, press releases, and other materials;
- Organize and manage the logistics of events and delegations including;
- Drafting invitations;
- Communicating regularly with high-level participants;
- Making travel and lodging arrangements;
- Identifying and managing vendors;
- Coordinating day-of-execution including AV technology;
- Publishing summaries of events on the Dialogue’s website.
Compensation: US$46,000-48,000 commensurate with experience. Competitive benefits package.
